Budget | Vendor Selection

• Constant communication with clients and vendors to ensure stress free and smooth planning.
  
• Build your personal wedding budget. Determine budget allocations.
  
• Interview bride and groom on vendor choices, narrowing down the selection by asking specific questions onbudget, perceived value of vendor to clients, group demographics and personal choice.
  
• Organize all vendor selections and contract negotiations.
  
• Receive bids from vendors comparing consistent timing and needs.
  
• Generate and negotiate contracts.
  
• Liaison for all vendors throughout the planning process.

• Officiate Floral, Transportation, Caterer, Photographer, Decor Rentals, Music, Videographer, Lighting, Audio Visual, Cake, Lodging, Hair & Makeup.
  

Guest Communications | Paperie

• Guide bride and groom throughout the planning with the etiquette and timing for all paperie.
  

Provide custom website copy, covering the entire weekend

• Website copy, Save the dates, Invitations, Programs, Guest itinerary, Escort Cards, Place cards, Welcome letter, Menus, Signage, Master timeline.
  

• Organize and communicate the itinerary and vendor meetings for the bride and groom during their Hawaiian Visit
• Assist with the creation of unique welcome items for your guests that celebrate both the couple and surroundings.
  
• Creation of timeline with bride and groom for the entire weekend.
  
• Communicate vendor timeline and amend contracts as needed. Create a cohesive team.
  
• Initiate discussions and resolve logistical challenges, always honoring our couple’s vision.
  
• Determine all event specifications (the details) and ensure event flow is seamless.
  
• Assist with food and beverage menu development and ordering/quantities.
  
• Provide a backup plan for inclement weather, emphasizing guest communication & guidance.
  
• Create a transportation plan, allocate vehicles according to guest count, and expedite.
  
• Coordinate travel logistics for vendors. Assist with vendor technical needs.
  
• Final walkthrough determining all event specifications, detailing, timeline and guest flow.
  

• Review and edit all Event Orders for client.
• Create wedding party and family itinerary for the weekend.
  
• Create welcome letter for gift bags.
  
• Ensure bride and groom make final arrangements with vendors i.e. Submitting play lists for ceremony and reception music, shot lists for photographer, obtain marriage license, finalize ceremony.
  
• Master, color-coded itinerary for all vendors and staff to create a cohesive strategy.
  
• Confirm all details with vendors.
  
• Determine final guarantee numbers. Relay final numbers to vendors.
  
• Ensure clients sign Banquet Event Orders and send to rehearsal/reception sites.
  
• Assist bride and groom with seating diagram for rehearsal/reception dinners.
  
• Receive and store items for bride and groom: votives, favors, linens, gift basket items, etc.
  
• Deliver gift bags to lodges.
  
• Confirm all vendors in detail.

Ceremony Rehearsal

• Meet with wedding party and family to review timeline and finalize last minute revisions or issues.
• Review individual ceremony roles and etiquette of those involved in ceremony.
  
• Coordination of ceremony rehearsal - a schedule and list of processional order, musicians and music will be created by planner and clients prior to this date.
  

Pre-Wedding Ceremony

• Assist with photography schedule for bride, bride’s family, and bridesmaids.
• Assist with photography schedule for groom, groom’s family, and groomsmen.
  
• Ensure wedding party adheres to schedule. Stay abreast of schedule as it pertains to all vendors.
  
• Assist with any vendor issues during set-up for wedding ceremony.
  
• Ensure cocktail party site is set up according to pre-arranged specifications.
  
• Ensure ceremony site is set-up according to specifications and direct wedding party on schedule to venue.
  
• Ensure ceremony programs are given to groomsmen/ushers.
  
• Direct/assist guests to ceremony location and seating.
  
• Confirm and expedite wedding party and guest transportation.
  
• Emergency kit for bridal and grooms’ parties.
  

Post-Ceremony

• Direct guests to receiving line, transportation, group pictures, and/or cocktail reception.
• Assist catering staff with any vendor issues that may arise (bar & hors d’oeuvres service/music).
  
• Keep photographer and bridal party on pre-arranged photo session schedule.
  
• Confirm and expedite wedding party and guest transportation.
  
• Direct guests to dinner venue at scheduled time.
  

On-Site Coordination: Wedding Reception Pre- Reception

• Lead and liaison for all vendors at reception venue.
• Set up escort cards, place cards and table names, memory tables, décor, etc. at reception.
  
• Keep photographer and bridal party on pre-arranged photo session schedule.
  
• Confirm and expedite wedding party and guest transportation.
  
• Check florist specifications.
  
• Check table specifications.
  
• Check musician specifications.
  
• Check lighting/décor specifications.
  
• Check lobby/indoor seating area/restrooms are set-up according to pre-arranged specifications.
  
• Ensure all candles are lit and lighting/music is set at proper levels.
  

Wedding Reception

• Direct/assist guests with seating.
• Manage all vendors, adhering to specific times.
  
• Manage any issues regarding food/bar/wine service with staff if necessary.
  
• Manage introduction, toasts and first-dance, cake cutting, garter/bouquet- and all events within timeline.
  
• Manage any unforeseen issues that may arise with guests/vendors (acting on behalf of bride and groom in accordance with their standards and written pre- arrangements) making vital decisions in adherence with the timeline, if necessary.
  
• Ensure bar closes at designated time.
  
• Assist bride and groom with pre-arranged departure, on schedule.
  
• Assist guests with departure and pre-arranged transportation if necessary.
  

Post-Reception

• Distribute payment envelopes to vendors.
• Assist staff and management with any closing issues.
  
• Deliver all items to pre-arranged location | gifts, cake top, flutes, cake set, paperie, bouquet
